Accounting · bookkeeping · tax · outsourced finance

AI consultancy for accounting firms.

Prepare client work faster while keeping professional judgement and sign-off with your accountants.

Binarify helps practices improve client document collection, exception review, recurring work and operational reporting around the systems they already use. We begin with one service line, its baseline and its professional controls.

Configure before building

Use the practice platform you already pay for.

Karbon Client Requests, TaxDome file requests and similar practice tools already support secure collection, task status and reminders. The first assessment checks whether configuration solves the bottleneck.

A custom layer becomes relevant when staff still classify mixed documents, reconcile several systems, prepare complex exception queues or repeatedly translate client evidence into a reviewer’s working file.

The design should preserve stable IDs, original evidence and the product’s permission model. A parallel inbox or document store can create more work and weaken the audit trail.

Accounting-firm AI use cases

Four workflows with evidence, ownership and review.

These are patterns to assess against the firm’s engagements, systems, professional standards and privacy obligations. They are not completed client results or universal advice for every jurisdiction.

01

Client service · tax · accounts teams

Client document collection and onboarding

The friction: Staff chase files across email and portals, rename submissions and repeatedly work out what is missing before professional work can begin.

The approach: Create engagement-specific request lists, classify submitted documents, run completeness checks and prepare exact follow-ups. An accountant confirms that evidence is adequate for the engagement.

02

Bookkeeping · client accounting services

Bookkeeping exceptions and month-end review

The friction: Native bank rules and matching handle routine items, but accountants still investigate missing documents, ambiguous spend, changed reconciliations and conflicting records.

The approach: Assemble each exception with source evidence, deterministic calculations, prior approved treatment and a proposed next step. Staff retain posting, adjustment and close authority.

03

Tax preparers · reviewers · advisory teams

Tax-work preparation and source-linked research

The friction: Teams compare client facts, prior files, legislation, guidance and calculations under deadline pressure. Unsupported summaries create professional and client risk.

The approach: Prepare a fact register, retrieve approved sources and flag missing or inconsistent information. Qualified professionals determine the tax position, verify citations and approve every filing or advice output.

MeasurePreparation time · missing facts at review · unsupported citations · amended work caused by error

04

Partners · practice managers · service-line leads

Practice workflow and client status reporting

The friction: Work status, client dependencies, deadlines, capacity and billing signals sit across practice management, accounting, tax and communication systems.

The approach: Reconcile identifiers, create an owned exception view and draft evidence-linked status briefs. Keep financial calculations deterministic and source every reported figure.

MeasureWork in progress by age · missed deadlines · blocked jobs · forecast versus completed work

Professional responsibility

Make every output inspectable and correctable.

The ACCA’s current AI risk guidance emphasises governance, confidentiality, competence, training and independent professional judgement. The ICAEW’s 2026 guidance summary similarly explains that AI does not replace professional judgement.

Turn those principles into approved tools, client-data rules, evidence links, review thresholds, source checking, staff training, activity logs and incident escalation.

Business case

Value the capacity the practice can actually use.

The diagnostic follows one complete engagement or queue. It measures staff time, waiting, rework and review, then identifies how released capacity could become additional profitable work, reduced overtime, a contractor change or an avoided hire.

Use the accounting-firm AI ROI guide to separate operational hours from recognised financial benefit and preserve quality as a release condition.

Practical questions

Before commissioning AI for an accounting practice.

Which firms is this service designed for?

The workflows suit accounting, bookkeeping, tax and outsourced-finance practices with recurring work, an accountable process owner and enough volume for a measurable implementation. We assess the service line, platforms, jurisdictions and professional review before defining a scope.

Do we need custom software if our practice platform already has automation?

Often no. We first inspect the portal, client requests, reminders, templates, document handling, APIs and AI features already available in your subscribed products. Configuration is preferable when it closes the operational gap. We integrate or build only when a valuable gap remains.

Can AI approve accounting entries or tax positions?

The first scope keeps posting authority, accounting treatment, materiality, tax positions, filings, advice and professional sign-off with qualified staff. AI can organise evidence, run controlled checks and prepare a review queue.

Can you connect with Xero, QuickBooks, Karbon or TaxDome?

We assess the exact product, edition, permissions, API coverage and data-location requirements. Where a supported integration is suitable, we limit access and write permissions to the agreed workflow. We do not promise identical capabilities across platforms or countries.

How is client confidentiality protected?

The design covers purpose, permitted data, client disclosure or consent where required, supplier terms, model-training settings, data location, role-based access, retention, logging and incident response. Production client records are unnecessary for the first conversation.

How do you measure an accounting AI project?

We baseline a complete engagement or queue, including preparation, chasing, review, correction and elapsed time. Capacity becomes financial return only through a credible action such as additional profitable client work, reduced overtime, a contractor change or an avoided hire.

How much does an engagement cost?

The AI Impact Diagnostic starts at $2,500 USD and normally takes one to two weeks. Implementation sprints start at $15,000 USD. The diagnostic fee is credited against the sprint if you proceed.

Can you work with firms in several countries?

Delivery is remote for suitable firms in the US, UK, Canada, South Africa, Australia, UAE and Singapore. The client’s professional, privacy, legal and security owners approve jurisdiction-specific requirements.
