AI consultancy for real estate operations.

Respond to enquiries sooner, reduce property administration and give your team clearer cases to review.

Binarify helps real-estate businesses improve lead response, listing intake, document handling, maintenance triage and reporting around the systems they already use. We begin with one recurring workflow and measure the operational result.

Where the business case sits

Move beyond isolated content tools.

The National Association of REALTORS® 2025 Technology Survey found that 46% of surveyed members used AI-generated content, while only 17% reported a significantly positive business impact from AI and 46% reported no noticeable impact.

The same research found that CRM was one of the leading sources of quality leads. That points to a practical priority: connect AI to the process that captures, reviews and follows up the enquiry, rather than treating a listing-description generator as the whole transformation.

We assess the hand-offs, source records, permissions and measures surrounding the model. Some improvements need AI; others are better solved with CRM configuration, deterministic automation or cleaner data.

Real-estate AI use cases

Five workflows with a clear owner and measure.

These are implementation patterns to assess against your operation. They are not claims of completed client results or promises that every platform can support the same integration.

Lead response and follow-up

The friction: Enquiries arrive from portals, websites, email and campaigns. Agents re-enter details, reply inconsistently and lose context as the conversation moves between channels.

The approach: Capture and deduplicate the enquiry, retrieve the relevant listing and CRM history, prepare a factual first response, route it to the right person and schedule the next approved follow-up. An agent handles advice, negotiation and material claims.

MeasureMedian time to a useful response · enquiries reached within SLA · appointments from qualified enquiries · opt-outs

Listing intake and quality checks

The friction: Property facts, photos, floor plans, compliance records and owner notes arrive in different formats. Teams copy the same details into several systems and correct avoidable errors later.

The approach: Extract fields from approved source documents, check required information, flag contradictions and draft a description grounded in verified facts. A responsible person approves wording, image treatment and portal publication.

Transaction and tenancy administration

The friction: Teams repeatedly check packs, forms, tenancy files and supporting documents, then chase people because one identifier, signature or record is missing.

The approach: Classify incoming documents, extract agreed fields, compare them with the case record and prepare an exception list. People remain responsible for identity, legal, financial and compliance decisions.

MeasureHandling time per case · incomplete files found before hand-off · correction rate · days waiting for missing information

04

Property managers · letting agents · facilities teams

Maintenance intake and routing

The friction: Maintenance requests arrive with incomplete descriptions, unclear responsibility and little context about the property, tenancy or previous work.

The approach: A guided intake asks for missing facts, classifies the issue, retrieves property and contractor context, prepares updates and routes the case under explicit urgency and approval rules. Safety-critical reports escalate to a person immediately.

MeasureTime to acknowledgement · time to assignment · repeat contacts · SLA misses · reopened jobs

05

Agency leaders · asset managers · portfolio teams

Branch and portfolio reporting

The friction: Pipeline, occupancy, arrears, maintenance and marketing data sit in separate products, so leaders spend time assembling a report before they can investigate a change.

The approach: Reconcile identifiers and definitions across approved sources, calculate stable measures with normal code, use AI to explain exceptions, and link commentary back to the underlying records for review.

Systems before software

Configure, connect or build?

We inspect the CRM, property-management platform, portals, document store, inbox and reporting tools involved in the chosen workflow. Then we identify the smallest complete change that can improve the measure.

Configure

Use an existing feature when the product already holds the data and supports the required action.

Connect

Integrate systems when people are manually copying the same case, property or contact information between them.

Build

Create a custom layer when a valuable gap remains and the expected benefit justifies testing and maintenance.

Human control and professional responsibility

Keep consequential property decisions accountable.

AI can retrieve records, identify missing information, draft communication and flag exceptions. It should not quietly become the final authority for access to housing, a regulated valuation, material property claims or legal and financial advice.

The RICS global standard for responsible AI in surveying, effective from 9 March 2026, requires governance, professional judgement, output assurance and client transparency when AI materially affects surveying services.

In the US, housing providers also need to consider Fair Housing Act and consumer-reporting duties around tenant screening. The Consumer Financial Protection Bureau explains that applicants can dispute incorrect screening information and that landlords have notification duties after an adverse decision based on a report.

First engagement

Prove the workflow before funding the build.

The AI Impact Diagnostic follows one operational process from source data to action. It tests the baseline, system capability, data quality, risk, expected benefit and continuing cost.

You receive a workflow map, findings and a contained implementation recommendation—or a clear reason to configure an existing product, repair the data or stop.

Practical questions

Before commissioning AI for a real-estate business.

Can you integrate AI with our real-estate CRM or property-management software?

We assess the exact product, edition, permissions, API and data quality before proposing an integration. Many platforms already include automation or AI features, so configuration may be enough. Where a valuable gap remains, we can connect supported systems or build a focused layer around them.

Do we need to replace our current software?

Usually not. The diagnostic begins with the systems that already hold your contacts, properties, cases, documents and maintenance records. We recommend replacement only when the current product prevents an important workflow and the migration case is stronger than an integration or process change.

Can AI qualify or reject prospective tenants?

We do not start with automated tenant rejection. Housing decisions may involve anti-discrimination, consumer-reporting and data-protection obligations that vary by market. A suitable design uses documented criteria, accurate source data, meaningful human review, an explanation route and a process for correcting errors.

Can AI value a property or set the asking price?

AI and automated valuation models can support research, comparisons and anomaly detection. A material valuation or pricing recommendation still needs suitable data, an understood method and accountable professional review. We define where the model assists and where qualified judgement is required.

Can AI write property listings?

Yes, as a reviewed drafting step. The workflow should draw from verified property facts, identify missing or conflicting information and prevent invented features. An authorised person approves the description and any edited or virtually staged media before publication.

What data would a real-estate AI project need?

Only the fields needed for the selected workflow. Lead response may use enquiry, listing and communication records. Maintenance triage may use property, tenancy, issue and contractor data. We document access, purpose, retention and deletion before implementation and avoid copying whole databases without a defined need.

How much does real-estate AI consulting cost?

The AI Impact Diagnostic starts at $2,500 USD and normally takes one to two weeks. Implementation sprints start at $15,000 USD. The diagnostic fee is credited against the sprint if you proceed, and scope, price, milestones and expected running costs are agreed in writing.

Do you work with estate agents, property managers and developers outside one country?

Yes. Delivery is remote for clients in the US, UK, Canada, South Africa, Australia, UAE and Singapore, with overlap hours agreed up front. Property, housing, privacy, marketing and professional rules differ by location, so the workflow is checked against the client’s market before launch.
